Refund Policy

We want VoiceCare Pro to be a clear win for your clinic. Our billing is transparent and our cancellation process is simple — no hoops, no pressure.

1. Free Trial

All new VoiceCare Pro accounts receive a 14-day free trial with full access to the plan features you select. No credit card is required to start a trial.

During the trial period, you can:

  • Process voicemails and receive AI summaries and email notifications
  • Access the full dashboard and analytics
  • Forward voicemails from your existing softphone
  • Cancel at any time with no charge and no obligation

At the end of your 14-day trial, your account will prompt you to enter a payment method to continue service. You will not be charged until you explicitly choose a paid plan.

2. Monthly Subscriptions

VoiceCare Pro subscriptions are billed monthly in advance. Our current plans are:

Standard refund policy

Monthly subscription fees are non-refundable once charged. If you cancel your subscription, you will continue to have access to all plan features through the end of the current billing period. We do not offer prorated refunds for unused days remaining in a billing cycle.

Example

If you are billed on the 1st of the month and cancel on the 15th, your account remains active through the end of that month. You will not be charged again, and no refund is issued for the remaining 15 days.

3. How to Cancel

You can cancel your VoiceCare Pro subscription at any time by:

  • Logging into your dashboard and navigating to Settings → Billing → Cancel Subscription
  • Emailing support@getvoicecarepro.com with your account email and a cancellation request

Cancellations submitted by email will be processed within one business day. You will receive a confirmation email when your cancellation is complete.

After cancellation, your voicemail data and dashboard records will be retained for 30 days, after which they will be permanently deleted. You may request immediate deletion by including this in your cancellation email.

4. Exceptions

We may issue a full or partial refund at our discretion in the following circumstances:

  • Service failure: If VoiceCare Pro experiences a material service outage or processing failure that is our fault and significantly impacts your clinic's ability to use the service within the first 30 days of a paid subscription, please contact us and we will review your case
  • Duplicate charge: If you are charged twice for the same billing period due to a billing system error, we will issue a full refund of the duplicate charge
  • Unauthorized charge: If you believe your account was charged without your authorization, contact us immediately

To request an exception-based refund, email support@getvoicecarepro.com within 30 days of the charge with your account email, the amount charged, the date of charge, and a brief description of the issue.

5. Billing Disputes

If you believe there is an error on your bill, please contact us before initiating a chargeback with your bank or credit card provider. Chargebacks incur processing fees and administrative burdens that we prefer to avoid by resolving disputes directly and fairly.

We will respond to all billing inquiries within two business days.
