1. Acceptance of Terms
These Terms of Service ("Terms") constitute a legally binding agreement between you (or the organization you represent) and VoiceCare Pro ("we," "us," or "our"). By accessing or using VoiceCare Pro, you confirm that you have read, understood, and agree to these Terms. If you do not agree, you may not use the service.
If you are accepting these Terms on behalf of an organization, you represent that you have the authority to bind that organization to these Terms.
2. Description of Service
VoiceCare Pro is a cloud-based voicemail triage platform designed for US healthcare clinics, hospitals, and medical facilities. The service receives voicemail audio files forwarded to a unique clinic email address, applies AI processing to generate summaries, extract caller and callback information, determine appropriate department routing, and deliver structured notifications to authorized clinic staff via email and dashboard.
We reserve the right to modify, update, or discontinue features of the service with reasonable notice to active subscribers.
3. Account Registration
You must create an account to use VoiceCare Pro. You agree to provide accurate, complete, and current information during registration and to keep your account credentials confidential. You are responsible for all activity that occurs under your account. Notify us immediately at support@getvoicecarepro.com if you suspect unauthorized access.
4. Acceptable Use
You may use VoiceCare Pro only for lawful purposes in connection with legitimate healthcare operations. You agree not to:
- Forward voicemails containing content unrelated to patient or clinical communications
- Attempt to reverse-engineer, decompile, or extract the source code of the platform
- Share login credentials with individuals outside your authorized clinic staff
- Use the service to process voicemails on behalf of clinics or facilities not registered under your account
- Transmit any malicious code, spam, or unlawful content through the platform
- Circumvent any security, access control, or usage limitation of the service
Violation of these terms may result in immediate suspension or termination of your account.
5. Billing and Payments
Subscription plans
VoiceCare Pro is offered on monthly subscription plans. Your selected plan includes a defined number of voicemail processings per calendar month. The three current plans are Starter ($74/mo — 300 voicemails), Plus ($119/mo — 500 voicemails), and Pro ($199/mo — unlimited voicemails).
Billing cycle
Subscriptions are billed monthly in advance on the date your paid subscription began. All fees are in US dollars and are non-refundable except as described in our Refund Policy.
Overage
If your clinic exceeds the voicemail processing limit for your plan in a given month, service may be temporarily paused until the next billing cycle. We will notify you by email when you reach 80% of your monthly limit.
Price changes
We reserve the right to change subscription pricing. We will provide at least 30 days written notice to affected subscribers before any price increase takes effect.
Free trial
New accounts receive a 14-day free trial. No credit card is required to start the trial. After the trial period, continued use requires a paid subscription.
6. Intellectual Property
VoiceCare Pro and all associated software, designs, trademarks, and content are the exclusive property of VoiceCare Pro and its licensors. These Terms do not grant you any ownership interest in the platform.
You retain ownership of all voicemail content and data submitted through your account. By using the service, you grant VoiceCare Pro a limited, non-exclusive license to process that content solely for the purpose of providing the service.
7. Data and Privacy
Your use of VoiceCare Pro is subject to our Privacy Policy and, where applicable, our HIPAA Notice. We process data only as described in those documents.

9. Limitation of Liability
To the maximum extent permitted by applicable law, VoiceCare Pro and its officers, employees, and affiliates shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of or inability to use the service, even if advised of the possibility of such damages.
Our total aggregate liability to you for any claim arising from these Terms or the service shall not exceed the total fees paid by you to VoiceCare Pro in the three (3) months immediately preceding the claim.
10. Indemnification
You agree to indemnify and hold harmless VoiceCare Pro from and against any claims, damages, liabilities, and expenses (including reasonable attorneys' fees) arising from your use of the service, your violation of these Terms, or your violation of any applicable law or third-party right.
11. Termination
Either party may terminate the subscription at any time. If you cancel, your access will remain active through the end of the current billing period. We may suspend or terminate your account immediately if you violate these Terms or engage in activity that poses a risk to the platform or other users.
Upon termination, your data will be retained for 30 days, after which it will be permanently deleted. You may request immediate deletion by contacting support@getvoicecarepro.com.
12. Governing Law and Disputes
These Terms are governed by the laws of the United States. Any dispute arising out of or relating to these Terms or the service shall first be submitted to good-faith negotiation. If unresolved within 30 days, disputes shall be resolved by binding arbitration in accordance with the rules of the American Arbitration Association.
13. Changes to These Terms
We may update these Terms from time to time. We will notify active subscribers by email at least 14 days before material changes take effect. Continued use of the service after that date constitutes acceptance of the updated Terms.
